Our Opportunity:

Corenic is seeking an Executive Assistant for our Largo, MD office.  In support of the President of the organization, this role is critical and integral to the President's overall management and oversight of a variety of executive administrative functions. 

THIS POSITION IS 100% ON SITE AND DOES NOT OFFER HYBRID OR REMOTE WORK.

REQUIRED OFFICE HOURS ARE MONDAY - FRIDAY 8:30AM-5:00PM. SOME AFTER HOURS WORK OR EVENTS MAY ALSO BE REQUIRED ON OCCASION. 

Essential Duties and Responsibilities:

  • Serves as confidential Executive Assistant to the President
  • Drafts correspondence, recommendations, reports, etc. on behalf of the President
  • Manages President’s appointment calendar, schedules and prioritizes appointments and meetings to maximize the President’s engagement and ensures the achievement of organizational goals; advises President of daily schedule and works closely to ensure effective and timely follow up
  • Reviews President emails with him to keep him on track and respond to emails in a timely fashion
  • Manages and supports the President with external meetings, including attending as deemed appropriate, drafting correspondence, preparing materials and documentation, conducting research, and notetaking
  • Assists President in preparing for external meetings, conferences and events and follows up on action items from all meetings; communicates with the Executive team on deliverables and action items
  • Arranges President’s travel and obtains/prepares required documentation including entry requirements, trip portfolios, advances, etc.
  • Screens and manages President’s telephone calls and visitors, ensuring appropriate follow- through
  • Manages information flow across the office from the executive team to the employees
  • Responsible for coordinating all office related event planning including, holiday event, quarterly employee appreciation and all office birthdays, luncheon, and catered meetings along with the Administrative team
  • Maintains files and records of the Executive Office
  • Manages and supports the President with external board positions and participation, including correspondence, preparing materials and documentation, research, and notetaking at meetings as appropriate
  • Ensures clear and timely communication with the Board Liaison regarding all board related matters
  • Supports monthly all-Staff meetings and weekly executive team meetings
  • Assists President with a variety of duties for additionally owned companies
  • Serves as liaison between President and Executive Team
  • Performs a variety of administrative duties including inventory management, courier services, postage and parking, conference room preparation/cleaning, catering orders for meetings/luncheons, etc. in coordination with the Administrative team
  • Assists and communicates with executives in decision-making, program management, and initiative implementation
  • Serves as the gatekeeper for the President
  • Ensures clear action items and follow-through from various meetings
  • Support the needs of the Executive team in their ability to raise critical issues with the President (with a strong focus on timing and delivery) and receive needed responses, guidance, and decisions to keep the work of the business flowing smoothly while keeping the President informed in a timely manner
  • Elevate issues the President should be aware of, and offer solutions to resolve issues and mitigate the risks
  • Supports communication with the President with other executives in the organization
  • Leads and delivers special projects and ad-hoc requests to support the President as requested
  • Organizes and prioritizes critical issues and required information for the President to facilitate efficient decision-making
  • Assists President with gathering responses to RFP’s in collaboration with the marketing and operations teams
  • Other duties as assigned

The ideal candidate will have the following experience, skills and qualifications:

  • Prior experience supporting an executive level entrepreneur is highly preferred
  • Bachelor’s degree in Business or similar degree, plus minimum of 5 year’s prior experience supporting one or more C-Suite executives in a fast-paced, professional office environment. Equivalent combination of education and experience may be substituted
  • Well-organized, skilled in setting priorities and meeting deadlines, and able to handle multiple tasks simultaneously
  • Experience and/or familiarity with the construction industry highly preferred
  • Excellent written and verbal communication skills
  • Excellent time management skills with demonstrated ability to prioritize and handle multiple projects in fast-paced environments
  • Must be customer service focus and be a problem solver with the ability to work with ambiguous information
  • Demonstrated experience of success implementing solutions
  • Ability to work well independently and as a team member
  • Strong interpersonal and communication skills with the ability to collaborate with diverse individuals
  • Skilled in Microsoft Office, Outlook, Adobe, and Canva software to assist with preparing various presentations, documents, etc.
  • Capacity to handle multiple priorities and projects and provide consistent and routine updates
  • Experience planning and leading initiatives
